Today, with the rapid economic development, people's pace of life is getting faster and faster, and many people lament that there is not enough time. We often hear people around us say, "If I had more time, I could..." . But the real problem lies not in time itself, but in how we use time. On October 27th, Jinghe Elite Training Class held its eighth course - "Time Management: The Secret to Unlocking Work Efficiency". Based on time management, Teacher Li Xing shared with the trainees from several chapters including thinking, direction, action, and skills.

01 Thinking Section

The mode of thinking is the starting point for enhancing work efficiency. It's not that it can't be done, but that one can't think of it.

Improving work efficiency requires the establishment of systematic thinking. We cannot increase the length of life, but we can increase its width.

Establish a system to enable us to describe a thing objectively and neutrally. The system has two major characteristics: First, it is integrated; Second, intangible. Systematic thinking is good at treating team management and self-growth from an overall perspective, identifying the intangible factors that affect the improvement of team or self-efficacy. "Invisible and intangible do not mean they do not exist; they are often more important!" Keep an open mind and improve yourself.

PDCA is a system that requires all tasks to be carried out in accordance with the process of making plans, implementing the plans, checking the implementation effects, and then incorporating the successful ones into the standards while leaving the unsuccessful ones to be addressed in the next cycle.

1. PLAN: Make plans, clarify goals, and break down goals;

2. DO Execution: How to execute goals and plans;

3. CHECK: Inspect the implementation effect;

4. ACTION processing: Successful ones are included in the criteria, while unsuccessful ones are left to be addressed in the next cycle.

PDCA application Mnemonic:

Big rings encircle small ones, small ones protect the big ones, and promote the big cycle.

Spiral ascent, closed cycle, repeated over and over again.

The foundation of time management: Set clear goals. Goals are the ability to determine what is important. Goals should be clear and long-term. In work, always view problems from a higher position than your current one and always be half a step ahead of others. Managers should plan carefully before taking action - think systematically, build frameworks, act in an orderly manner, and possess positive goal management.

Goal setting should conform to the SMART principle: clear, measurable, achievable, relevant, and time-limited. In management, one should often ask oneself: What kind of manager do you want to be? What kind of manager are you in the minds of your employees?

Help clarify goals through the five dimensions of the goal analysis system: Problem-oriented: visible/undiscovered problems; Competitive orientation: Analysis of the current competitive situation and how to create competitive advantages; Growth orientation: Review one's own ability bottlenecks and reflect on one's career development; Consultant-oriented: Analyze from customer needs and market trends; Vision orientation: Consider from the perspective of the overall interests of the organization and the future vision direction.

Execution degree is the guarantee for improving the efficiency of time management. Human time management should focus on energy management, emotion management, workplace communication, etc. Energy management is a systematic project: 1. Physical fitness: eating, drinking, moving, breathing and sleeping; 2. Emotions: 67% of emotions come from life. One should maintain a grateful and optimistic attitude. 3. Thinking: Attention, concentration, focus, and full commitment; 4. Spirit: Goal, mission, vision.

The ABC model of Emotion generation and management: A- The behavior itself, finding attribution; B- Judgment and evaluation of the external: Intentions and results; Internal self-judgment and assessment: I can, I am willing; C- Psychological and physiological responses vary from person to person. They can be regulated and managed to keep one energetic. What often hurts us (evokes emotions) is not the facts themselves but our perception and response to them.

Positive language enhances time management efficiency: Express in a positive way, for instance, always use affirmative sentence patterns, look for reasons after failure, improve oneself, put oneself first, try every possible way to solve problems, keep an open mind, always be learning, and do every task at hand well - be down-to-earth, etc.

Smooth communication in the workplace proceeds from the train of thought of receiving work instructions - reporting work - contacting and discussing. Practical tools: Proactive TAO model, 6W3H structure, Four Quadrants of Time Management.
